Your 1688 Order Reached the Warehouse: What Next?

Confirm receipt, inspect the items, resolve discrepancies and approve a packed-shipment quote before your 1688 order leaves a China warehouse.

First identify which warehouse has your goods and who controls the next step. A domestic delivery marked received does not by itself establish that the contents have been checked or that international dispatch has been arranged. Ask the receiving provider to match the parcel to your order before approving anything further.

Identify the warehouse and the service you bought

Check the receiving address and reference from your order records. Is this a platform-arranged warehouse, your agent’s warehouse or a forwarder you appointed? Confirm the contact responsible for the goods and whether the agreement covers receiving, inspection, consolidation and onward delivery.

If you purchased through an agent, ask it for the inbound record. If you ordered yourself, send the warehouse the order reference, seller and domestic tracking number. A generic “delivered” status is not a complete inventory record.

Reconcile parcels with the order

Keep “received,” “counted” and “inspected” as separate statuses. A sealed carton can be received without anyone verifying the items inside. Use the inspection checklist to specify what you need checked.

Resolve missing or unsuitable items

If something is wrong, describe the affected variant and quantity, attach relevant evidence and ask the seller and warehouse what action is available at this stage. Find out whether you can hold the goods while the issue is reviewed, and whether storage or handling charges apply.

A refund request does not prove that a warehouse has been instructed to return the parcel. Confirm the recipient, return reference, transport arrangement, cost responsibility and required evidence before approving a return. Approve packing and the shipment quote

For multiple suppliers, decide which received items belong in the outgoing shipment. Confirm the proposed packing, carton count, gross weight and external dimensions. Ask which product characteristics the route accepts, the destination coverage and what documentation the provider needs.

Request a complete quote with its billing basis, exclusions and validity. If you already have another onward carrier, specify exactly where this warehouse’s responsibility ends. The consolidation guide helps you coordinate those handovers.

Give a clear release instruction

For warehouse reference [reference], please confirm the attached item list is complete. Hold [items needing review]. For the approved items, provide the final packing list, carton measurements, shipping service, charges and exclusions. Do not dispatch until I approve this quote and the destination details.

After approval, save the final quote, release message, packing list and dispatch tracking. Compare the received goods with those records when they arrive.

Common questions

Why am I being asked to pay shipping again?

The earlier payment may cover a different stage. Compare both invoices and ask which journey each charge covers; do not assume it is a duplicate or automatically correct.

Can I use my own forwarder?

Ask whether the warehouse permits the handover, what receiving instructions are needed and which fees apply.

How long can I wait?

Check the actual storage allowance, inspection deadline and return window for this order. This guide does not assume a fixed number of free days.
