Make the request specific

Name the product and include a reference link or image, material, dimensions, colours, quantity and packaging. Distinguish mandatory requirements from preferences. If several order sizes are possible, ask for separate quotations at those quantities instead of asking only for the lowest price.

State sample cost, production lead time, domestic freight, quotation validity and how defects are handled. Please identify any requirement you cannot meet and any charge excluded from the quotation.

Review the answer before negotiating

Check that the quote refers to the right specification and quantity. Ask about any unexplained substitution, fee or schedule assumption. Save the dated quote and update it when requirements change. Compare the complete agreed scope, not only the unit price.

Specify the overseas version instead of relying on a label

A “cross-border” description is a starting point for questions. Ask the supplier to identify the exact version in its quote and confirm every requirement that matters to your destination and intended use. Keep unanswered fields marked as unconfirmed.
