Write the brief before asking for prices

Record the intended use, material, dimensions, colour, quantity and packaging. Include a reference image where useful, but explain which details are essential. Separate your goods budget from transport and other costs. A listing price is not a complete quotation for your order.

Compare, sample, then agree

Send the same brief to each candidate. Ask about minimum quantities, sample cost, lead time and exclusions. Inspect a sample against your requirements and record the approved version. Before committing to a larger order, put specifications, acceptance criteria and defect handling in writing. A successful sample does not replace checking the production batch.

Plan the route to your destination

Identify who buys, who receives the goods in China and who arranges international transport. Confirm product acceptance and necessary documents before shipping. Record carton count, dimensions and gross weight. On receipt, document packaging damage or quantity discrepancies promptly, using the agreed process.

Step five: review the order and build continuity

Delivery is not the end of procurement. Close receiving issues, review the supplier’s performance and agree how to reconnect before planning another purchase.
