From one order to a working relationship: supplier follow-up
Review performance before reordering
Compare product consistency, delivery, communication and after-sales handling using the order record. Do not rely only on price or one pleasant conversation. Close unresolved issues before discussing further purchases.
Agree how to stay in touch
Ask the supplier to identify day-to-day and after-sales contacts, suitable channels and usual response times. Retain necessary business contact details with mutual agreement. Keep key specifications, prices and remedies in traceable order or written records.
Confirm reorder terms again
Reconfirm the specification version, quantity, price, lead time, packaging and inspection requirements. Past prices and schedules are not guarantees for a new order. Share purchasing forecasts separately from confirmed orders to avoid misleading expectations.
Use a specific follow-up message
Example: Hello, order [reference] has been received. We were satisfied with [points], while [points] need improvement. We expect to review another purchase around [period]; quantities are not yet confirmed. Please confirm our business and after-sales contacts and share current quotation terms and lead times. Any purchase remains subject to an agreed order.
